Supporting our Community

Board of Directors

The Hanover, Bentinck & Brant Agricultural Society (HBBAS) has been serving our communities since 1864. We proudly present the Hanover Fair each August, and we are the owner/operator of the Hanover Raceway.

Our Mission

To support the Agricultural and Horse Racing Communities by offering programs, facilities, events and sponsorships in a financially sustainable and transparent manner.

Our Vision

To maintain H.B.B.A.S. as a financially stable, community contributor supporting harness racing and agricultural promotion including the Hanover Fair.

In addition, the HBBAS is committed to supporting our local communities.

The donations and scholarship policy establishes guidelines for donations and scholarships provided by the Hanover, Bentinck and Brant Agricultural Society to the community.

Community Donations

Donation requests will be reviewed quarterly, and voted on accordingly at the following Board of Directors meeting.

Deadlines for submissions shall be:

  • January 31
  • April 30
  • July 31
  • October 31

In time sensitive situations and/or emergencies, requests may be brought to the Board for consideration before the intake deadlines, at the Presidents discretion.

Eligibility and Criteria for Community Donations

An applicant must meet the following criteria to be considered for a donation:

  1. The non for-profit organization must be agriculture, youth or health care based.
  2. Only one application per organization will be accepted for consideration each calendar year.
  3. Applicants must
    1. Complete application form
    2. Provide additional documents in which they feel will help the agricultural society to reach a decision
  4. Requests will be reviewed quarterly, and must be received by the intake deadline for that particular quarter (see deadlines above). In extenuating circumstances, requests may be considered in advance of the deadline, but must be submitted at least 30 business days before funds are required, thus allowing time for the society to review and process the request.

Exceptions

The Agricultural Society will review requests from the police and fire departments and if determined that the donation would benefit our community, a donation can be made at the Board of Directors’ discretion.

Procedure for Community Donations

  1. The Hanover Bentinck and Brant Agricultural Society will review applications to ensure they are completed. If the application is incomplete the society may ask for more information.
  2. Requests for donations will be considered and reviewed quarterly at the Agricultural Society’s Board of Director’s meetings. (refer to quarterly submission deadlines above)
  3. Donations/contributions granted to organizations shall be based on the amount of funds requested through the application process.
  4. Organizations will be notified of the status of their donation request following a decision made by the society.
  5. The budget for donations will be approved yearly as part of the budget process.
  6. If a donation is approved, a representative of the Agricultural Society (Ambassadors, President, etc.) may present the organization with the donation.
